GENERAL CLUB RULES FOR ALL ENTRANTS (ADULTS & SCHOLARS) 2010

1.       The club has two (2) categories which are:

 ·          Adults (National & International) ·          Scholars. The scholars can enter as individuals or via their specific schools BUT this year we will also be selecting a number of schools to compete in an additional category and this competition will end with a night of music and song.

2.       Adults (18yrs and older) need to be registered members (free subscription for 2010) to participate and will only need to pay a R10 entry fee per entry.

3.       Entry fees are payable for both categories (adults & scholars) but only the adults need to be registered members to enter our annual competition. Only paid and signed entries will be considered for the prizes and publication.

4.       The club has now extended the talent to 5 categories (for scholars) and 4 categories for the adults, which are:

·          Poetry:   poems are limited to 32 lines. Poems exceeding    this limit will not be considered for publication.

·          Short stories:   limited to 2000 words and any entries exceeding this limit will not be considered for prizes or publication. The number of words must be indicated on entry.

·          Art:  only original works of art (A3 or A4 size) will be considered. Photostat copies or copied art will not be considered for prizes and will be discarded. The works of art will be not returned, unless indicated and postage paid for by entrant.

·          Music:  songs & instrumental acceptable and must be the original work of the entrant. All music entries received will be placed on our website & the public will participate by voting for their favorite artist.  A prize and a CD will be considered if a minimum of 200 entries received.

·          Photography:   adults enter via our website where there is a free monthly competition.  Scholars enter on an annual basis via their schools. 

PLESE NOTE:

·          Adult members need to acquaint themselves with the rules and information for the 2010 annual competition as 3 winners in each category will be elected each month and then the overall winners to be elected and announced after the closing date which is 30 September 2010.

·          Scholars enter via their respective schools and the entry fee applies.  Closing date for all 5 of the categories for scholars is 30 September 2010.

·          The monthly photo competition is (free entry) open to all subscribed adult members and please bear in mind that the winners need to pay for the postage fee of prizes.

·          Winners in both categories (adults and scholars) will be announced on 1 November 2010.  All prize money will be paid by the end of December 2010

1.       All winning entries will be published and by entering we accept that you agree to this condition.

2.       All work entered must be the entrants own original work and we consider that by entering you agree to this. Prizes will be forfeited if it is found that the entry is not that of the entrant.

3.       Whisper Poetry Club will not be responsible for any INFRIGEMENT of copyright whatsoever.

4.       Only English and Afrikaans work may be entered.

5.       Non-winning entries may also be published but then entrants must complete the letter of publication in order to have work published.

6.       Whisper Poetry Club will not be responsible for entries lost in the postal system.

7.       All prizes payable will be adjusted depending on the entries received.

8.       Only work suitable for family viewing will be accepted

9.       The club has no restriction on topics or works entered and published elsewhere but it is the responsibility of the entrant to give Whisper Poetry permission to publish. By entering, the club accepts that there are no copyright infringements.

10.    The selected Poetry & Short Stories will be in our annual book of verse and short stories. All work of winning entrants & other selected work will be published.

11.    The purchase of our annual book of verse and short stories is voluntary & the club will not insist that entrants purchase a book.

12.    Winning art & photography entries will appear on our site. If sufficient entries are received we will consider an exhibition at a venue in Gauteng.

13.    Music prizes and CD will only be considered if a minimum of 200 entries is received. The possibility of more than one CD will only be considered if the number of entries received justifies it.

14.    The organizers decision will be final and all prizewinners will be announced by 1 November 2010

15.    The annual book will be available during July of the following year.

16.    The copyright of all work entered remains the property of the entrant.

17.    NO late entries will be accepted.

18.    ALL entries submitted must have the following information about the entrant

·          Name & Surname

·          Name of School – scholar entries / country of origin – adult entries

·          Title of entry

·          Hand written & typed entries are accepted.

·          Contact details - postal address, email address and or street address & contact number of entrant.

·          All entries must be endorsed with the entrants signatures indicated the originality of the entrant’s work. Failing to do so will disqualify you from the competition and publication.  Parents and teachers may sign on behalf of minors.

a NEW COMPETITION FOR SELECTED SCHOOLS WILL TAKE PLACE DURING 2010

ADULT RULES – NATIONAL & INTERNATIONAL – 2010

1.       The club is open to all who are subscribed members (subscription for 2010 is free). The fee is now on an entry basis and is R10.00 per entry. Adult members are encouraged to participate in all of the four categories. 

2.       The entry fee is payable at the time of entering and entries will be judged on a monthly basis with the top 3 entries in each category qualifying for the year end prize. Entries will only be considered for the competition, publication and newsletters once the entry fee has been fully paid. 

·          Unlimited entries of poems (up to a maximum of 5 can be published) but each entry needs to be paid for at R10.00 per entry.

·          A maximum of two short stories per entrant (1 or 2 will be published at the discretion of the editor).

·          Unlimited entries of Art, Music

·          A book of verse and short stories as well as a CD of the selected music and song entries.

·          Subscribed members will also be entitled to submit articles for our monthly newsletter.

3.       The prizes, which will be an annual award, for the adult competition are as follows:

·          1st Prize R 1000-00

·          2nd Prize R 500-00 

·          3rd Prize R 200-00  

·          4th Prize (20 off) A copy of the annual anthology & a CD of the songs and music. (With the condition that sufficient entries are received).

4.       Only entries suitable for family viewing are acceptable, and the editor’s decision will be final.

5.       Prizes will be adjusted depending on the number of entries received.

6.       General rules apply to ALL subscribed members and only subscribed members are welcome to enter our annual competition in all 4 categories and also the monthly photo competition (which is free) and have their work published (see our website for the general rules, or contact our office to obtain a copy).

7.       The closing date for submission of entries will be the last Friday of each month.  The top 3 entries of each category will be elected each month and will then qualify for the prize money at the closing of the competition which is 30 September 2010.  The final date for entries to be submitted into our annual 2010 competition will be on 30 September 2010. 

8.       Additional copies of the anthology can be purchased from our office or from the website (see website for prices)All winning entries will be published, and by entering the   competition all members agree to this condition.

9.       Non winners are welcome to have their work published and the letter for permission of publication can be obtained from our office.

A member who submits five entries in any specific category will only need to pay R30.00 for the five entries. This will apply for every other five entries and means that an entrant submitting 10 entries will pay R60.00 and for 15 entries R90.00 etc.Winners to be announced on 1 November 2010.

2010 SCHOLAR COMPETITION

This is our regular annual competition BUT we will also be selecting a number of schools to compete in a special event and the competition will end with a night of song, music and dancing.

1.       Our annual scholar competition is open to all enthusiasts of:

·          Poetry:  no topic restrictions but poetry is limited to 32 lines.

·          Short Stories:  a maximum of 2000 words with no restriction on a topic.

·          Art:  A3 & A4 sizes, no topic restrictions, but only original entries can be submitted.

·          Music:  songs & instrumental entries only. Must be original work of entrant.

·          Photography:  Wild life & scenic entries only. Electronic entries acceptable.

2.       Each entry must be signed by the entrant and in failing to do so will disqualify the entrant from the competition and publication.   Signed entries will also indicate that the work entered may be published and that it is the own original work of the entrant.  All work submitted into the competition must have the following information on each entry:

·          Name & surname of entrant,

·          Age,

·          Name of School,

·          Title of entry,

·          Contact details of entrant,

·          Signature endorsement of entrant (parents or teachers may sign on behalf of minors)

3.       An entry fee of R10.00 per entry (and not per entrant) is payable and only paid entries will be considered for the competition and publication. There is no limit to the number of entries each school or scholar may enter BUT the entry fee applies to all entrants. A maximum of 3 poems and 1 short story per entrant will be published, but the final decision remains with the editor. Anthologies can be purchased at a cost of R 150-00 per copy. The anthologies will be available in June of the following year. All winning entries will be published.

4.       A music & Instrumental CD will be part of the prize providing sufficient interest is generated. In the event that a CD is not issued the 4th prize will then only be the anthology.

5.       Prizes will be awarded to both High and Primary Schools as follow:       

1st prize: R 1000-00 for each category (poems, short stories, art Photography & music).       

2nd prize: R 500-00 for each category (poems, short stories, art Photography & music).       

3rd prize: R 200-00 for each category (poems, short stories, art Photography & music).       

4th prize: 5 Anthologies & CD’s (see above) per category.       

The 1st, 2nd & 3rd Prize Winner’s Schools (High & Primary) will each receive an anthology.o        The two teachers’ (1 high and 1 Primary school) responsible for entering the most entries will each receive a cash prize of R 1200-00 and a free copy of the anthology.

Whisper Poetry Club will not be responsible for any infringement of copyright by any entrant. There are no restrictions on the number of entries or the topics but please keep in mind that all entries must be for family viewing. 
Prize money will be forfeited if it is found that the entry submitted is not the original own work of the entrant.

  

A COMPETITION FOR SELECTED QUALIFYING SCHOOLS.

1.    This will be an event for a number of selected schools which qualify in a nominated area. This is for ease of managing the event and ensuring that it is an event to be enjoyed not only by the students but also that community.

2.    Each school which qualifies and who is selected will need to enter and participate in the following:

·      Submit a minimum of 20 poems (A maximum of 30) from that school. The poems can be in English or Afrikaans but not longer than 32 lines

·      Submit a maximum of 10 short stories with a maximum length of 2000 words.

·      Each school will be allocated a song from the sixties which will need to be rehearsed and a vocalist and dancing to the song is a requirement. Each school will also be privy to the full list of the selected songs. This is because the winning school will need to entertain the audience for a period of thirty minutes at the end of the night of music and song. The winning school can sing all or a selection of the prescribed songs.

3.    The written work (Poems and Short Stories) will be judged prior to the final night and points awarded to each school for the entries received. This means that all the poems and stories will carry points for that school. The song and music night will have at least three judges from the community and or schools and points will be awarded for each school. The points will then be checked and verified by the judges in attendance with the top three schools being announced and the prizes awarded.

4.    In the event of a tie the audience will participate in a final vote to select the winning school.

5.    We are appealing to the business sector and community to support this event and prizes will be announced early in 2010.

6.    All the poems entered will be published and a short story from each school will be included in the Book of verse. There will also be a prize for the top poet and short story writer.

7.    All the songs by each school will be on a CD/DVD and this together with the book of verse will be available at a reasonable price yet to be announced.

8.    The closing date for the Poetry and Short Stories will be 30th September 2010 and the gala night function will be   21st October 2010 and participating schools are requested to make provision and keep this night available for the event.

9.    There is no entry fee for this competition but an entrance fee, to the gala event, of R100.00 per person will be charged for the gala event. The venue will be announced and the entrance fee includes: snacks, coffee/tea and cold drinks.
